Procedure to request early access to Canvas for new hires

In the situation where a new hire needs access to Canvas for their course, but they haven't gone through the UCPath hiring process and do not have their accounts set up yet, with chair approval they can be granted early access to Canvas.

Once the department (HR/AP) knows that they're hiring a new instructor, and they will need early access to Canvas:

  1. HR/AP puts in an early account setup request to support@eng.ucsd.edu letting OEC know this is specifically for early access to Canvas
  2. OEC sets up the new early account in mailupd/AD/mail and sends the credentials to the instructor
  3. AP Analyst obtains Chair approval for this instructor to have early access to Canvas
  4. AP Analyst emails canvas@ucsd.edu with

    • Chair or Vice Chair approval
    • New affiliate account usernames
    • List of Canvas courses to assign as Instructor of Record
  5. Canvas team grants early access
  6. MOST IMPORTANTLY, as soon as the instructor's UCPath ID has been assigned, send this to support@eng.ucsd.edu so OEC can associate the existing account with the new UCPath ID. If you do not do this, a second set of records and usernames will be created and will need to be cleaned up - it will cause the instructor issues logging into their accounts.
