Overload Teaching Agreements

Purpose

Faculty scheduled to teach in one or more of our MAS programs may be eligible for Overload Teaching payments. See APM-662 for applicable policy.

Requesting Overload Payment Approval

In order to request such a payment:

  1. Verify that he or she is teaching the full course load expected in their home department [See Faculty Workload Policy].

  1. Complete and submit the request via kuali at https://ucsd.kualibuild.com/app/builder/app/63484f4a79b736bb2945f84e/run - this will be routed to the candidate, department chair, and the dean's office. 
  2. Include an explanation certifying that the individual's course load reflects a full course load.
  3. Submit the online form to AP Dean's Office Staff 30 days prior to the start of the first quarter in which the overload course(s) will be taught.
  4. Approval to issue an overload payment will come from the Executive Vice Chancellor's Office. At that time you may enter the payment information into the payroll system.

Calculating Salary

In the Jacobs School, faculty may teach a maximum of two courses per academic year as overload. Jacobs School policy allows faculty to be eligible to receive the lower of 1.5 ninth or $16,000 per course. Therefore, the maximum payment is set at $32,000 for two courses per academic year.

In very limited circumstances, faculty may be eligible to exceed this amount. Requests to exceed this amount must be submitted in writing to Dean's Office Academic Personnel staff. Requests must be from the appropriate Department Chair(s) and endorsed by the Program Director. The Dean will review and submit each case individual to the EVC for final approval.

Calculating Loss of Consulting Days

Time spent on additional teaching should be deducted from the time limits on outside activities in APM025. Podium hours consist of both preparation time and contact teaching hours. Teaching even one hour counts as one day (up to a maximum of six podium hours per day). (See APM-662, Appendix B-1, item 6.b. on limitations).

How to Enter an Overload Payment into UC Path

1. Add funding for Overload Teaching using the employee’s existing position using earn code ACT.

2. Use PayPath to enter Overload Teaching salary as a flat-rate amount on the Additional Pay tab:

  • Effective Date = the date the additional pay should start
  • Earnings Code = ACT
  • Enter the appropriate Pay Period Begin and End Dates
  • Pay Period Amt = the amount that will be issued each month
    •  Please note: This amount will not be prorated. Normally, overload teaching compensation will be paid in four equal monthly installments consistent with the established quarter pay period (i.e. If you enter $6,000 for the period of 11/01 - 02/28, then it will pay $24,000; $6,000 for each month). If prorated amounts are needed, these must be entered as separate one-time additional pay rows. Courses taught on an accelerated schedule may be paid in fewer monthly installments.
  • Reason = New Additional Pay
  • Goal = the total amount you want to pay over the earnings period (from begin date to end date). 
    • If you forget to enter an Earnings End Date, the payment will be a recurring payment; the payments will stop once the Goal Amount has been distributed
    • This is to be used as a safety net to avoid overpayment
  • Enter Job Data Comments that explain the action.
