Active Service Modified Duty

Active Service – Modified Duties (ASMD) is a period of time in which an academic appointee is permitted to modify his or her duties in order to provide care for a family member as follows: to prepare for or provide care for a newborn child or a child newly placed in the appointee's home, to provide care for a seriously ill family member, or to provide substantial care for an elder family member.

Eligibility for a period of ASMD extends from three months before to twelve months following the birth or placement of a child OR in any quarter in which the substantial care for a seriously ill family member or elder occurs.

For faculty, the modification of duties will include either partial or full relief from teaching without the assignment of additional teaching duties in the previous or subsequent quarter. In the quarter of a childbearing leave or parental bonding leave, there must be full relief from scheduled teaching duties without the assignment of additional teaching duties in the previous or subsequent quarters, unless the faculty member requests a partial teaching assignment. In the case of health sciences faculty, clinical duties may be reduced, as appropriate.

The total combined period of ASMD, childbearing leave*, and parental bonding leave will not exceed the equivalent of two quarters for each qualifying event.

*Note: In compliance with APM 760, revised 8/7/18, childbearing appointees will be eligible to request up to 3 quarters of ASMD, within one year of the date of event.

How to Request Active Service Modified Duty – Send the following to Dean's Office AP Staff

  1. Complete Family Accommodations Reporting (FAR) form
    1. Select the Active Service Modified Duties Section.
    2. If the department requests temporary FTE reimbursement (used to support the cost of a lecturer to teach on behalf of the faculty member for an undergraduate course) be sure to complete this section as well.
    3. The faculty member and chair must both sign and date the FAR form.
  2. Substantial Responsibility Statement. Note: A certification of substantial responsibility is not required if ASMD is reported concurrently with a childbearing leave. Include:
    1. The date or anticipated date of the event (birth of child or date of placement for adoption or foster care).
    2. Provide a statement certifying that he or she has substantial responsibility for the care of the appointee's, the appointee's spouse or the appointee's domestic partner's newborn child or child under age five placed for adoption or foster care.
    3. Signed and dated by the academic appointee.
  3. Modification Plan Memo for Course Relief. (If a modification plan does not include teaching relief, a description of the proposed modification plan should be attached.) Provide:
    1. The course(s) to be relieved.
    2. The quarter of the course(s)
    3. Information on the individual(s) expected to cover the course.
    4. Amount of reimbursement (usually $6000)

The Dean of the Jacobs School of Engineering will review the request and submit it to the EVCAA for final approval. Once the request has been approved, the department will be notified by the Dean's Office and provided with a memo acknowledging the request from the EVCAA.
